These terms have been used interchangeably throughout the pandemic, causing some confusion in cleaning protocols. To properly prevent the spread of COVID-19 in your office, you should know the difference between the three. 

  • Cleaning removes germs, dirt, dust, and impurities from surfaces or objects.
  • Sanitizing lowers the number of germs on surfaces or objects to a safe level, as judged by public health standards or requirements according to the EPA. A surface must be cleaned before it is sanitized, and sanitizing does not impact viruses.
  • Disinfecting kills germs on surfaces or objects. Like sanitizing, disinfecting is not completely effective without cleaning the surface or object first. 

Maintain Healthy Office Environments

1 | Plan to perform routine cleaning & disinfection of high-touch surfaces such as doorknobs, keyboards, sink handles, light switches, desks, countertops, and more,. Create a schedule with your janitorial staff or contact a disinfecting company to ensure your office is properly disinfected on a continual basis.

2 | Use hospital grade disinfectants that meet the EPA disinfection criteria and are appropriate for the type of surface. There is a difference in disinfecting porous vs. non porous surfaces.

  • Promote hand hygiene. Require that employees frequently wash their hands with soap and water for at least 20 seconds. The best way to ensure this would be to create a schedule to wash hands after a certain time period.
  • Enforce mask wearing. Encourage office staff to wear masks as they move around the office or in communal areas. 
  • Ensure adequate cleaning supplies. Position hand sanitizer in high touchpoint areas to encourage using it, or give a bottle to every employee to keep at their desks. Be sure to be stocked with hand soap and disinfectant wipes. 
  • Post signs and messages promoting behaviors to stop the spread. If you have requirements for mask wearing, hand washing, or how to navigate through the office, clearly post them. 
  • Make it clear when employees should stay home. Encourage employees that are sick or have had close contact with someone with COVID-19 to stay home, and create policies around when employees are able to return. 
  • Promote no-contact operations. If you have an office where clients used to visit, try to shift to no-contact operations with those outside of your office. Promote zoom or conference call meetings with clients, and discourage those who do not work in the office from coming inside. 
  • Allow employees to work from home. Even though your office may be open, it’s still best to still limit the amount of people working from it at one time. If employees are uncomfortable returning to the office, allow them to continue working remotely. For larger offices, it is a good idea to create a remote vs. in-office schedule with your employees to limit the amount of people in the office at once.

But, what do you do when you look up and notice large, brown, ugly water stains on your ceiling tiles? Besides from being an eyesore, water damaged ceiling tiles can begin to smell and grow mold. Here, we will review the causes of water damage to ceiling tiles and what you can do to fix them.

What Causes Water Damaged Ceiling Tiles?

Ceiling stains almost always indicate some sort of water leak in your office. These are usually tan or brown in appearance and will darken over time. When unaddressed, water damaged ceiling tiles will begin to produce mold growth as the moisture in the tiles creates an environment for mold spores and other bacteria to thrive. 

Common causes of water damaged ceiling tiles include:

  • Leaking HVAC components: Parts of your heating and cooling system may begin to leak overtime. If your system has not been serviced in a while and isn’t working correctly, built up moisture or condensation can also cause ceiling stains.

  • Do they seem structurally sound?

To Restore Minorly Damaged Ceiling Tiles:

Get on a ladder and spray the affected ceiling tile with a 1:1 solution of bleach and water. Wait a half hour for the tile to dry and repeat until the stain is gone. You can also paint over the stains, but this will not do anything to ensure that there is no bacteria or mold spores left behind.

For more severely water damaged tiles, it is best to throw them away and replace them with new ones. In these cases, the affected tiles are likely to harbor mold growth and other contaminants and may produce a musty in your building odor over time.

Cleaning your office after a flood is much more of an important process than many office managers or business owners realize. A flooded office building must be completely cleaned and dried as soon as possible after sustaining water damage to prevent mold growth, protect from further damages, and get your office back to business. When it comes to office flood cleanup, you want to work as fast as possible to help mitigate thousands of dollars worth of water damage.

10 Steps For Office Flood Cleanup

1 | Take all safety precautions necessary.

Before starting flood cleaning, you must make sure to take the proper safety steps, including:

  • Turn off the power if there is standing water in the building.
  • In the even of major office flooding, turn off the gas as well.
  • Do not turn back on the electricity and gas until you have bene told it safe to do so.
  • Be sure that the office building is safe to re-enter before doing so. Major flooding can compromise the structural integrity of the building, and should be inspected by a professional.
  • Wear proper protective gear when entering flood water or a space that has been flooded for multiple days.

2 | Find the source of flooding and stop it.

You can't start any clean up or call a flood cleanup company before you've stopped the source of the water. If the water is coming from a clean source such as a leaking or broken water pipe, malfunctioning sink valve, or water heater, turn off the main water. This will stop further damages while you wait for a plumber to arrive and fix the issue.

  • Tip: If water was from a contaminated source such as a sewer overflow or a river - leave all the cleanup to a water damage restoration company. You can become ill by improperly cleaning up contaminated water.

3 | Move all wet and affected items & decide what is salvageable.

Move lighter items to an unaffected area of the building so that they will not take on any more damages. For heavier pieces of furniture that you can't move, place them on blocks or aluminum foil to get them out of standing water. Wipe off any remaining water on salvageable furniture.

At this stage it is also best to decide what items should be thrown away. If any item has touched contaminated water, it must be thrown away as it is contaminated. Items that are wet with clean water can be saved if you will be able to properly dry them out. Items that you will likely have to throw out either way include rugs, carpet padding, upholstered items, or paper products.

  • Tip: Have office items you're not sure if you can save? Keep them and see if a contents restoration company will be able to restore it to pre-damage conditions.

4 | Wash items that you are saving.

Before bringing flood-affected items back to everyday use, be sure that you properly clean and disinfect them to prevent the likelihood of mold growing or some sort of bacteria being left behind on its surface.

5 | Remove standing water.

To get up standing water, you can use a mop and towels, but your best option would be to use a wet dry vacuum. Depending on the extent of your flood damage, you may not be able to suck up all the water yourself. In this case, you would need to call a water damage restoration company to completely extract all water throughout the flooded office building.

  • Tip: Do not use a regular vacuum to get up water from the floor.

6 | Begin the drying process.

The extent of the drying process depends largely on how much of the office building was flooded and what materials were affected. Regardless, the process generally remains the same:

  • Set up fans and dehumidifiers in affected areas. Let them sit for at least three days to ensure they can dry out the rooms as much as possible.
  • Open any windows or doors (weather permitting) to help air circulate.
  • Make any necessary flood cuts to floors and walls to ensure that inside the walls also dry. The size of the cut depends on how high the flood water was and how long it sat inside the building.

7 | Inspect for signs of mold.

Mold can grow in a home or business in as little as 48 hours after flooding. If not taken care of promptly, it can spread around your entire office building. Look for signs of the following:

  • Musty odors
  • Discoloration at baseboards
  • Sudden persistent allergies in the building.
  • Visible mold - This can be in just about any shape, size or color.

8 | Remove any visible mold growth.

There are a few ways to remove mold from hard surfaces. You can use commercial products, soap & water, or a solution of 1 cup of bleach to 1 gallon of water. This tactic may get rid of surface mold, but the best way to ensure your office has been properly remediated is to consult a professional mold removal company.

9 | Clean & disinfect all affected areas.

Even when flood water comes from a 'clean' source, still disinfect to be sure no employees could possibly become ill once they return to the building. This step also helps prevent the growth and spread of mold throughout the building. Clean all hard surfaces (flooring, concrete, molding, wood, metal, appliances, etc.) with detergent and hot water and disinfect with a mixture of 1 cup of bleach to 5 gallons of water.

10 | Take steps to ensure your office building doesn't flood again!

Be sure to properly replace any plumbing fixtures or appliances that cause the leak. If flooding came from an outside source such as a strong storm, it may be best to invest in flood insurance if you have no yet done so.

The answer to this question mostly lies within how much flooding there is and how much of your office building is affected. For smaller floods that affect a room or two, you should certainly be able to handle flood cleanup yourself.

Cleaning Up After A Fire In Your Branford Business

When a fire strikes your business, the effects can be detrimental and overwhelming to deal with. In this local laundromat a TV caught on fire and required the help of the fire department to put it out, causing widespread damages to the business. 

Fire Damages

As seen in the photo above, soot and smoke stained all surfaces in the storefront. Every washer, dryer, fan, countertop, and even ceilings and walls were affected. The floor was covered with black debris and soot as well. A strong odor of fire and smoke also remained in the laundromat long after the fire was put out. A few windows in the storefront were also broken from the heat of the fire and the firefighting efforts. 

Water Damages

When you hear ‘fire’ you don’t always think about water damage too. But, this laundromat also suffered water damage from the fire department extinguishing the TV fire. Roughly a half inch of standing water was in certain areas of the storefront, closer to the source of the fire. 

Fire Cleanup Process

Emergency Contact

This business owner acted fast after his fire and contacted his business owners insurance before the flames even went out. From there, his insurance company referred SERVPRO of Branford/Shoreline to handle all cleanup and restoration of the laundromat. 

Inspection and Fire Damage Assessment

Immediately after being contacted, SERVPRO dispatched a Project Manager to inspect and assess damages from the fire. The Project Manager worked with local authorities to be able to see what happened inside the business, what the source was, and when he could have our crews out to begin cleaning. 

Immediate Board-Up and Roof Tarp Service (if needed)

This step isn’t always needed for a smaller fire, but in this case the laundromat did need a board up of 2 windows in the front of the store. Many times, windows will be broken by the Fire Department or shatter on their own from the heat of the fire. Securing your property is highly important after a fire to ensure there will not be additional damages and to keep pests out.

Water Removal and Drying (if water damage is present)

Before crews can begin cleaning and soot, smoke, or structural damages, they must remove all water and begin the drying process in the business. Tackling water damage first is important to help ensure that the structure doesn’t begin to decay from water damage and to prevent the growth of mold. In this business, crews had to extract standing water from the firefighting efforts and set up fans and dehumidifiers to ensure it properly dried out. 

Removal of Smoke and Soot from All Surfaces

Once water damage was under control, the crews moved on to removing any soot and smoke from all surfaces. That included washing machines, dryers, fans, counters, shelves, clothing, office areas, walls, floors, ceilings and more. This is accomplished mostly by using chem sponges to remove soot and smoke residues. This process is long and must be completed by hand, but will return any business to pre-fire conditions.

Cleaning and Repair

Other than removing soot and smoke stains, the crews also removed any damaged or non salvageable materials from the laundromat. This included the original TV and some contents that were close to the source of the fire. 

Crews also worked to ensure that there would be no lingering smoke smell once the cleaning & repairs were completed. They set up air scrubbers, ozone machines, and cleaned the duct system to remove all smoke particles from the air and prevent any from getting kicked up again. 

Restoration

In the final step of fire damage restoration, crews were sure to handle small touches to ensure this laundromat was restored to pre-damage conditions. All ceiling tiles were replaced that needed to be, and all contents were returned to their original placements at the end of the job.

Before speaking with Contractors, spend time thinking about your goals for the project -- what it might look like, the amenities you want, and so on. Why Contractor Quotes Vary Drastically

Contractors cannot offer a correct fixed price because there are too many unknowns about the job, so try to eliminate as many of the unknowns as possible. For example, have them open up a wall to examine the skeleton of your house where the add-ons would happen.

Hold a Tabletop Exercise

A tabletop exercise is a facilitated discussion about what your organization would do in response to a disaster.

The exercise leads participants through a simulated disaster scenario and prompts them to examine their plans, policies, and procedures without disrupting the work environment. It allows for a facilitated discussion of roles, procedures, and responsibilities in the context of a simulated emergency scenario.

The goals for the exercise are as follows:

  1. To assess your organization’s ability to respond using your current plans, policies, capabilities, and resources; and 2. To help identify improvements that could make the difference in keeping your people safe and continuity of operations after a disaster.
